Self-hosted or SaaS: what actually changes for your business

Both keep software running for you. The real differences are about who holds your data, what happens when you leave, and how the bill grows.

Most companies run on rented software: email from one provider, chat from another, files from a third. It works, and for many teams it is the right choice. But "self-hosted" is often misunderstood as the harder, more technical option, when for a growing business the differences are mostly about control, cost and exit.

Where your data lives

With a typical SaaS product, your files and messages sit in the provider's systems alongside those of thousands of other customers. That is usually safe, but it is not yours. Access is governed by the provider's policies, and the details of where and how your data is stored are theirs to decide.

With a private platform, your company has its own environment. Your files are not rows in someone else's shared database, and you decide who has access.

What happens when you want to leave

Leaving a SaaS product usually means working through an export tool within a deadline, and accepting whatever format it produces. Some providers charge to move large amounts of data out.

A platform built on open-source software keeps your information in standard formats from the start. Leaving is a migration you control, not a negotiation.

How the bill grows

Most business software is priced per person. That feels small at ten people and significant at a hundred. Every new hire adds a line to several bills at once.

A private platform is priced by what it takes to run it, so the cost stays broadly flat as your team grows. We look at that trade-off in detail in why per-seat pricing gets expensive.

What you give up

It is worth being clear about the other side. A private platform needs looking after: updates, backups and security all have to happen reliably. That work does not disappear just because you own the platform. With CogWiz, we do it for you. If you choose to run a platform entirely yourself, budget for someone to own it.

Which is right for you?

If your team is small, your data is not sensitive, and you are happy with your current tools, rented software is a perfectly good answer. If you are growing, handle client data you would rather keep close, or are tired of paying more every time you hire, a private platform is worth a serious look.
